By selecting Documents in the main menu the Documents view appears. This view displays documents which are not a task nor an event. It can be attached files, pictures, text, sounds, videos – you name it! All this information is available from the Documents view.

Categorized and flat views – with or without tasks and events

You can choose how you want to view your documents - either in a flat view with no folders, just a list of all documents, or a threaded view. All documents are shown in the folders they belong to. Make your choice by clicking one of the alternatives for displaying the view:

If you use Categorized view, you will find that all folders with a yellow folder icon contain other folders or documents. If the folders is empty, the icon is grey.

You can also choose whether tasks and events are to be listed at the same time, both in flat and categorized views. Use the check box to show or hide tasks and events:

In the view, all types of documents have different icons:

 Task yellow Task when the due date is not yet exceeded
 Task red Task when the due date is exceeded
 Event Event
  Document with no attachment
  Document with a text attachment
  Document with a spreadsheet attached

 

Create document

To create a document, click the Add new document buttonEnter a title for the document. Iif you do not enter a title, the name of the attached file will be the title. Attach a file by using the Browser button. The tag field is used to tell other members, and yourself, what this document is about. Tag the document with words that are not in the text already.

If you want to change some information in an already saved document, you need to open the document and click on the Edit button. Your document will be displayed in edit mode. Make your changes, and then use the Save button, or Cancel if you regret your editing. If you need to change your attachment, click the Remove attachment link below the attachment field. Please note that  you may only have one attachment per document.

There are two ways to remove a document:

  • Open the document and click the Delete button
  • Select the document in a view and delete it.

Folders

When you create a new project room, there are no folders to place your documents in. You may  already know what folders you need,  or you may create them later on.

To create a folder, use the arrow next to Add new document and choose Add folder. Add the folder name in the Folder field in the dialog box that appears. If you wish the folder to be a sub-folder to an existing folder, choose a folder in the drop-down list for Placement. Click on Save when you are done.

 

 

Move documents and delete documents

Furthest to the right on each line there is a check box. By marking the check box you can move or delete one or several document at a time. Select the documents you want to move, click the arrow next to Add new document and choose Move documents. A dialog box appears and you need to choose the a folder to place the documents in. Click Save when you are done. You cannot move documents if you do not have any folders in your project room.

If you want to delete documents, mark the check boxes and click Delete documents using the arrow next to the Add new document button.

 

 

View attachments

When you want to open an attachment in a document, you need to click the Download option beneath the attachment field, and the attachment will be launched.
